The result is stronger cost control, improved decision-making, and a clearer negotiating position that contributes to sustainable, long-term results.

FAQ
Here we answer the most frequently asked questions about The Purchase Group.
How long does a typical engagement take?
The duration depends on the scope and complexity of the engagement. A typical assignment usually takes between 2 and 4 months to complete, from start to final delivery.
Why should we engage you if we already have good control over our procurement?
-Procurement and finance teams often prioritize day-to-day operations. Agreements that “work well enough” rarely receive the time and attention required to be fully optimized. -Through broad expertise across multiple categories and industries, we bring strong market insight and a solid benchmark for assessing terms, pricing levels, and discounts. -As an external partner, we add new perspectives and can drive negotiations independently, while fully respecting existing supplier relationships. -Even in well-structured procurement organizations, terms and conditions often remain unchanged over time. We help ensure they reflect current volumes, market conditions, and business requirements. -An external perspective is not about identifying shortcomings, but about contributing fresh insights and uncovering improvement opportunities that can be difficult to see when working closely with the matter on a daily basis. -Over time, even small improvements in pricing, discounts, and terms can have a meaningful impact on total procurement costs. If no improvements are identified, the review provides clear confirmation that current conditions are already competitive.
How does your pricing model work?
For cost optimization engagements, we operate on a success fee model, meaning you only pay if we achieve actual savings—for example through renegotiated pricing or contract terms. There are no hidden costs or fixed fees. For other types of assignments, we work on a time-based fee or a fixed project price, depending on the scope, content, and objectives of the engagement.
Are there any requirements regarding company size or scope to engage you?
In principle, no. Following an initial discussion, we jointly assess whether there is a clear business value for both parties.
What does a standard engagement look like?
Cost optimization is our most common type of engagement and typically follows these steps: 1. Kick-off and scope definition The engagement begins with a kick-off meeting where we review the supplier landscape, needs, requirements, objectives, and expectations. Scope, priorities, and ways of working are defined and agreed upon. 2. Data collection and analysis Based on a power of attorney, we collect relevant contract, pricing, and terms information. The data is analyzed and benchmarked against market insights to identify optimization potential. 3. Supplier dialogue and negotiations We conduct meetings and negotiations with both existing and potential suppliers, focusing on pricing, terms, contract structure, and long-term business value. 4. Presentation, decision, and implementation Findings are consolidated and presented with clear recommendations. Following decisions, we support implementation and ensure that agreed improvements are realized.
How much time is expected from us as a client during the engagement?
The time commitment required from the client is relatively limited. An initial kick-off phase of approximately 1–3 hours, during which we jointly define the project framework and scope. This is followed by ongoing follow-ups and check-ins, tailored to your preferences and needs. Our objective is to operate as independently as possible and to minimize the time and attention required from your day-to-day operations.
Do you work across all industries?
Yes
What level of cost savings can typically be expected?
We do not provide guarantees in advance, but historical results show that our engagements typically achieve cost reductions in the range of 20–50%, depending on category, volumes, and market conditions.
How common is it for you to recommend switching suppliers?
Our experience shows that approximately 8 out of 10 suppliers can be retained, while still strengthening relationships and improving terms and pricing.
What legal protections and authorities apply when we work together?
We always operate within clear legal frameworks to ensure security and control for our clients. -Confidentiality (NDA): Before the engagement begins, we always sign a non-disclosure agreement (NDA). This ensures that all information you share with us is handled confidentially and used solely within the scope of the engagement. -Limited power of attorney: We prepare a power of attorney that authorizes us to engage in dialogue with your suppliers on your behalf—for example for information gathering, analysis, and negotiations in an advisory capacity. -No decision-making or signing authority: The power of attorney does not grant us the right to make decisions, enter into agreements, or sign contracts on your behalf. All contractual decisions and signatures are always made by you. -Advisory role: Our role is to analyze, structure, and provide recommendations—the final decision always remains with you.
